Microsoft’s Frontier Firms research shows that this gap is not luck. A small group of high productivity businesses are pulling away from everyone else, and the divide is widening. These firms are not larger or smarter. They simply behave differently. Their decision making is sharper, their people are empowered, and their technology accelerates the business rather than slowing it down.

If you are leading a growing organisation, this matters. The firms gaining ground now will become the ones dominating their markets later. The question is simple. Do you follow their lead or risk falling behind?

Here is the Frontier playbook. These are the moves fast growing businesses are already making while others hesitate.

1. Productivity is treated as a competitive advantage

Most organisations treat productivity as an internal housekeeping problem. Frontier Firms see it as the fastest way to outperform competitors. When you improve the speed and quality of decision making, everything else improves around it. Products evolve faster. Customers get answers sooner. Opportunities are spotted earlier.

We have watched this shift happen inside client organisations. A leadership team moves from thinking productivity is a cost saving exercise to seeing it as a growth strategy. Once that mindset clicks, investment becomes easier. Teams get better tools. Processes become lighter. The culture becomes more confident. This is the point where growth accelerates.

Frontier Firms do not chase AI or automation for novelty. They do it because every friction point is seen as lost ground to a competitor who will not wait for them to catch up.

2. Technology is modernised early to create long term capacity

Most businesses wait until something becomes painful before they modernise. Frontier Firms act before the pain arrives. Cloud infrastructure, security, data foundations and AI integration are not projects for later. They are the environment that allows everything else to move faster.

The advantage this creates compounds. Two companies might deploy the same tools, but the one that modernised earlier benefits from months or years of reduced friction. This shows up in speed to market, reduced errors and more confident decision making.

We have spoken to Heads of Finance who identified that modernising early was the single best investment their organisation had made. Not because of the technology itself, but because it removed the constant drag that had slowed every major initiative. Once the drag disappeared, people moved naturally into higher value work.

3. Decisions are driven by live, reliable data

This behaviour separates Frontier Firms more than any technology choice. Decisions are informed by data instead of seniority, opinions or incomplete information. It creates an organisation that can adapt quickly without creating chaos or risk.

When an organisation has poor data access, discussions take longer. Teams wait for reports. Leaders rely on intuition. By the time a decision is made, the moment has often passed. In contrast, a business with unified, trustworthy data moves with confidence. The process feels lighter and the outcomes improve.

By replacing guesswork with clarity, the shift of direction, confidence and pace can be transformational for businesses.

4. Processes are scaled before people are scaled

Growing firms often hire their way out of operational problems. Frontier Firms do the opposite. They systemise, automate and streamline before increasing headcount. This creates growth that is sustainable rather than expensive.

The impact is immediate. Repetitive work is removed. Teams become less reactive. Budget can be used for specialism rather than volume. AI is already amplifying this effect wherever it is applied correctly. It is not about replacing jobs. It is about removing work that slows down the people you already have.

When your team can focus on decisions, customers and strategy instead of repetitive admin, your competitors will notice the shift long before you announce it.

5. The work environment is designed for performance, not tradition

Frontier Firms remove friction relentlessly. Slow processes, unreliable tools, unclear workflows and duplicated effort are treated as barriers to growth. These businesses create environments where people can perform without unnecessary obstacles.

This is not about perks. It is about clarity and simplicity. A well designed process frees people to focus. A clean modern workplace removes confusion. A consistently performing digital environment builds trust. When work feels easier, people perform better.

Productivity is not only operational. It is human. Research consistently shows that frustration, repeated failure points and unclear expectations reduce performance far more than talent shortages ever will.

How Flyte Helps You Move Toward the Frontier

Closing the productivity gap does not start with technology. It starts with clarity. Most business owners know their teams are capable of more, but they cannot always see where the friction sits or which changes will genuinely shift performance. That is where Flyte fits in.

Our work focuses on the foundations that matter most to high productivity businesses. We help organisations modernise their digital environment, remove unnecessary complexity, and build the data and collaboration structures that allow people to operate at their best. The goal is simple. Give your teams an environment where progress feels natural rather than forced.

Every engagement starts with understanding how your business operates today and identifying the areas where modernisation will deliver the quickest return. Sometimes this is about automating manual processes. Sometimes it is about improving access to data. Sometimes it is removing outdated systems that quietly limit growth. Whatever the path, the outcome is the same. A business that moves faster, thinks clearer and wastes less energy fighting its own tools.

If you are looking at competitors that seem to be accelerating while you work harder just to keep pace, now is the right moment to close the gap.

Ready to move toward Frontier performance?

Start a conversation with Flyte and let’s identify the steps that will give your business an immediate lift. Your competitors are already moving. You should too.

Staff are using AI tools to summarise documents, rewrite client communications, analyse customer sentiment and streamline internal workflows. Individually, these actions look efficient and harmless. But collectively, they create a pattern of data movement and decision-making that many organisations are not prepared for.

When we speak with business leaders, a consistent theme emerges: AI adoption has outpaced governance. Sensitive content is being pasted into tools no one has reviewed. Plugins are being installed without approval. AI generated advice is guiding decisions without validation. These issues rarely appear in isolation; they accumulate gradually until the organisation loses control of where data is going and who is processing it.

For businesses operating under GDPR, this represents real risk. The challenge is not simply preventing mistakes. It is putting structure, clarity and oversight around tools that staff are already using. Organisations that act early gain the most important advantage: they can adopt AI confidently, without endangering data, compliance or reputation.

Below, we break down the behaviours creating the biggest AI exposure inside SMEs, why these issues matter and how Flyte helps organisations regain control before issues escalate.

How day‑to‑day behaviour creates AI risk inside SMEs

AI risk rarely presents itself as a single event. It emerges from small, routine actions that gradually pull sensitive information into systems the business has not approved or assessed.

Staff sharing sensitive documents with AI tools

One of the most common patterns we uncover is staff pasting full documents into AI tools to save time. These often include:
• financial forecasts
• client proposals
• HR issues
• internal pricing discussions
• contractual terms
• customer complaints

In one organisation, a manager uploaded a detailed employee dispute letter to refine the tone before sending it. The intent was positive. The outcome was the transfer of identifiable personal data to an AI platform with unknown data retention, geographic storage or access controls. Under GDPR, this creates immediate exposure for the business.

AI models retaining or learning from your data

Many AI platforms reuse prompts to improve performance or store them for quality checks. Without configuration, your data may be:
• logged indefinitely
• reviewed by supplier teams
• processed outside the UK
• included in future training cycles

When personal, sensitive or commercially confidential data enters these systems, the organisation loses visibility and control.

Shadow AI tools quietly entering workflows

Shadow IT has evolved into shadow AI. Staff adopt AI-powered extensions, apps or assistants to improve efficiency. Most leaders only become aware of this when a risk surfaces. By then, the organisation may already be using several tools with no governance.

Over-reliance on AI-generated content

AI presents output with confidence. That confidence can mask inaccuracies. We’ve seen examples where AI-generated content included:
• incorrect legal language
• inaccurate GDPR guidance
• fabricated statistics
• altered meanings in summarised messages

This becomes especially problematic when staff rely on AI outputs to inform decisions involving customers, employees or compliance obligations.

The GDPR and compliance implications businesses cannot ignore

GDPR expects organisations to maintain full control of how personal data is used, shared and stored. When AI tools process this data without appropriate controls, the business becomes exposed to compliance failures.

The ICO’s guidance on AI makes this clear:
https://ico.org.uk/for-organisations/uk-gdpr-guidance-and-resources/artificial-intelligence/

The highest-risk areas include:

Unauthorised data sharing

If staff share personal data with unapproved AI tools, those platforms become de facto data processors. Without a data processing agreement, the sharing is unlawful.

International data transfers

Many AI platforms process data across multiple global regions. Without explicit clarity on where data goes, organisations risk breaching GDPR rules around international transfers.

Accuracy obligations

When AI influences decisions about individuals, accuracy is not optional. Organisations that rely on unvalidated AI outputs risk unfair decision-making and compliance failure.

Lack of auditability

If AI usage isn’t monitored, organisations cannot demonstrate how or where personal data has been used. This significantly increases exposure during any investigative or regulatory review.

The National Cyber Security Centre’s guidance reinforces the importance of governance and secure deployment:
https://www.ncsc.gov.uk/collection/guidelines-secure-ai-system-development

How SMEs can regain control of AI adoption

Organisations do not need to remove AI tools to remain compliant. They need oversight and structure. The goal is not restriction; it is controlled enablement.

Create clear AI usage standards

A straightforward policy outlines:
• which tools are approved
• what staff can and cannot input
• how personal and sensitive data should be handled
• who to consult when unsure

This clarity alone prevents a significant volume of accidental risk.

Securely configure AI tools from the beginning

Most tools include governance controls that are rarely enabled by default. These include:
• disabling model training
• restricting data retention
• limiting geographic storage
• enforcing access rules
• controlling plugin permissions

Correct configuration is critical to reducing AI exposure.

Apply access controls to reduce risk

Not every employee needs full access to AI features. Restricting document uploads or advanced capabilities reduces the number of possible exposure points.

Train staff to recognise risks

Teams need context, not theory. Effective training shows staff:
• what unsafe prompts look like
• how data can persist in systems
• which data categories require caution
• where verification is needed

This promotes confident and responsible use rather than fear or avoidance.

Introduce monitoring and visibility

Monitoring is about governance, not surveillance. It provides clarity on:
• which AI tools are in use
• where data is being shared
• whether sensitive content is being uploaded
• whether new tools are entering the environment

Visibility enables leaders to guide adoption proactively.

Where business leaders should focus next

AI adoption is already happening inside your organisation. Whether leadership is driving it or not, staff are using AI to support everyday tasks. Risk arises when this adoption grows faster than governance.

The businesses that benefit most from AI are the ones that put structure around it early. They create policies, configure systems securely, train their teams and maintain visibility. This combination allows them to accelerate safely, without compromising compliance or trust.

Why organisations turn to Flyte

Microsoft has built powerful security capabilities into Business Premium, E3 and E5. The challenge is knowing what to enable, how to configure it safely and how it fits into the wider environment.

When Flyte reviews a tenant, the same issues come up repeatedly:

Defender for Office 365 included in the licence but left disabled

Conditional Access set up partially, leaving identity gaps

Data Loss Prevention avoided because it looks complex at first glance

These aren’t technology problems. They’re time problems. Internal teams are busy, so optimisation slips down the list.

One customer had used the same third‑party email filtering tool for years. Their Secure Score had been static for a long time. By enabling Defender features already included in their licences, their security posture improved significantly and the duplicated tool was no longer required.

This kind of outcome is common. The value is already there. It simply needs unlocking.

Clarity on Microsoft 365 licence tiers

Confusion around Business Premium, E3 and E5 leads many organisations to overspend. Flyte helps teams understand the practical differences between them so they can make the right decision.

Business Premium
Stronger security than many expect, including Intune, Conditional Access and Defender for Office 365.

E3
A solid baseline, but many never activate the security tools included and rely on third‑party products instead.

E5
Advanced analytics and deeper protection, but usually only necessary for specific roles or high‑risk teams.

A one‑size‑fits‑all licence model rarely delivers value. Flyte matches licences to real user needs so you only pay for what you truly use.

Where Flyte identifies and eliminates waste

Microsoft 365 audits consistently reveal avoidable spend. Flyte helps organisations find and address the three most common causes.

1. Duplicated tools
Third‑party MFA, MDM, DLP and email filtering often replicate capability already included in Microsoft 365.

2. Unused or misassigned licences
Licences sitting on accounts for people who left the business months ago.

3. Underused security features
Capabilities such as Conditional Access, DLP and Defender that could be enabled quickly but never are.

Research from Microsoft highlights how identity‑based attacks continue to rise, yet Conditional Access adoption remains low.
Source: https://aka.ms/mddr

Microsoft also shows how enabling key Defender features significantly reduces phishing risk.
Source: https://learn.microsoft.com/microsoft-365/security/office-365-security

The data supports what we see every day. Most organisations do not need more tools. They need to activate what they already have.

The AI arms race is well and truly underway- and for UK businesses, the question isn’t whether to adopt AI, but which tools to adopt. Two names dominate the conversation: Microsoft Copilot and ChatGPT by OpenAI.

Both are powerful, both promise to supercharge productivity, and both are evolving rapidly. But which one is right for your business? The answer depends on your goals, workflows, and how ready your teams are to embrace AI.

At Flyte, we help UK businesses harness cloud and AI technologies safely and effectively. In this post, we’ll break down the key differences between Copilot and ChatGPT- so you can make an informed decision.

What Is Microsoft Copilot?

Copilot is Microsoft’s AI assistant integrated into the Microsoft 365 ecosystem- Word, Excel, PowerPoint, Outlook, Teams, and more. It’s designed to work inside the tools your teams already use.

Key features:

Generate content in Word or slides in PowerPoint.

Analyse and visualise data in Excel.

Draft emails and summaries in Outlook and Teams.

Pull data from your internal files and documents using Microsoft Graph.

Ideal for:

Businesses deeply invested in Microsoft 365 looking to boost team productivity without changing platforms.

What Is ChatGPT?

ChatGPT is a conversational AI developed by OpenAI. It’s platform-agnostic, meaning it doesn’t require any specific software suite. Instead, it offers a powerful chat interface- and with ChatGPT Plus or Pro plans, access to the GPT-4.5 or GPT-4o model for even more advanced reasoning.

Key features:

Natural language Q&A and idea generation.

Code assistance and data analysis via the Code Interpreter.

Custom GPTs that can be trained on your business knowledge base.

Integration via API or browser extensions for bespoke workflows.

Ideal for:

Innovative teams or developers looking to build AI-enhanced workflows, create content, or automate complex tasks.

Copilot vs ChatGPT: Key Differences

Which Should Your Business Choose?

Choose Microsoft Copilot if:

You’re already embedded in the Microsoft ecosystem.

Your goal is to enhance day-to-day productivity with minimal disruption.

You need enterprise-ready compliance and security out of the box.

Choose ChatGPT if:

You’re experimenting with AI-driven innovation, coding, or automation.

You want to train custom assistants or integrate with non-Microsoft systems.

You’re seeking flexibility and cutting-edge reasoning power.

Or- Why Not Both?

The truth is, these tools aren’t mutually exclusive. Many UK businesses are deploying Copilot for office productivity and ChatGPT for innovation, development, and AI workflows. The key is to manage access, governance, and training so teams know when and how to use each effectively.

At Flyte, we work with UK businesses to implement secure, scalable AI solutions—whether that means configuring Microsoft Copilot, training a custom GPT, or deploying hybrid workflows that bring out the best in both.

Ready to Embrace AI?

As cyber-attacks become increasingly frequent and advanced, this is more essential than ever. It was great to see so many organisations get involved, with events taking place throughout the country, and lots of valuable content being shared online.

Cloud Cover IT’s Managing Director Lance Gauld, Head of Technology Jim Murray, and Group Commercial Director Steven Turner had a great discussion about all things cyber security. They discussed key topics including: why organisations are reluctant to invest in cyber security, how to detect when a hacker is in your system, and how important it is that employees are trained to recognise cyber-attacks. Lance and Jim even shared their top tips for organisations looking to take those first practical steps towards cyber resilience. You can watch the video below:

As discussed in the video, it is essential that your organisation understands the risk and has security measures in place to prevent falling victim to a cyber-attack. If you would like to discuss any of the topics covered in the chat, or have any questions about how your organisation gets started on their journey, simply email sales@cloudcoverit.co.uk and we’d be happy to help.

As the reliance on technology increases, the volume and intensity of cyber-attacks is also unfortunately rising. The security of our client’s IT architecture and systems is a top priority for us, and with our ISO27001 certification, you can be assured that we have the best possible systems in place. Here are three measures that we recommend to our clients that will help minimise the risk of falling victim to a cyber-attack.

Multi-Factor Authentication

Multi-Factor Authentication (MFA) is a simple solution that adds an extra layer of security to your organisation’s systems and data. Once MFA has been implemented within your organisation, users will be required to verify their identify through two different methods before they can access the system. The most common first barrier is still username and password, which is unfortunately not enough against advanced attacks. MFA then adds a second barrier such as an authenticator app (we recommend the Microsoft Authenticator app), text message, or fingerprint.

Learn more about MFA here.

Cyber Essentials Certification

The Cyber Essentials Certification is a UK Government-backed scheme that has been designed to help organisations learn how to prevent and protect against basic cyber threats. To achieve the Cyber Essentials Certification, organisations must demonstrate that they have a foundational level of security in place within its IT architecture. Many cyber-attacks are very juvenile in nature and can be thwarted with basic protection, the Cyber Essentials Certification ensures organisations have the knowledge that they need to recognise these threats. It is also increasingly becoming a requirement from organisations within the public sector, that they will only work with organisations that have the certification.

Learn more about the Cyber Essentials Accreditation here.

Veeam Backup for Microsoft 365

Microsoft provides many powerful services within Microsoft 365 (M365), but a comprehensive backup of M365 data is unfortunately not one of them. As confirmed in the Microsoft Shared Responsibility model, the backup of data is the sole responsibility of the organisation. Unprotected data is at risk of security threats, accidental or intentional deletion, and retention policy gaps. To keep your data safe, we recommend implementing Veeam Backup for M365. This eliminates the risk of losing access and control over your organisation’s data, including Exchange Online, SharePoint Online, OneDrive for Business, and Microsoft Teams.

Learn more about Veeam Backup for M365 here.

Gordon Fleming is the Head of Technology and Operations at Cloud Cover IT. He has experience of working as both an IT Managed Service provider, and as a member of an in-house IT department. Below, he examines the main differences between the options, and the pros and cons.

Over the past 15 years or so, I have had the pleasure of working with and for many companies in various roles and positions. From In-House IT to the Managed Service providers. The big to the small.

Companies all need varying degrees of support and that choice of how we decide to protect and provide for our IT from the passing of time, security concerns, and day-to-day issues can be a tricky one to navigate. We can employ a whole team, employ an individual, hand a current staff member who is reasonably IT Savvy the keys to the server room, or look to the world of Managed Service Providers.

Each has its benefits and pitfalls.

Having your own team on payroll running around your office with your business interests being their top priority sounds like the best solution here. Right?

For the most part yes. You get the day-to-day staff familiarity, availability, historical knowledge, and care that an employee would give for his or her company. However, lurking in the shadows is that question all employers hate to ask themselves… what if this employee left? What uncalculated and irreplaceable knowledge is the business losing from their departure? What will happen to the remaining members of the team?

I’ve known many companies that have a team of 3 or 4 core IT staff that have been around through the tough times and the busy times. The failed migrations and the big disasters. The team can be found reminiscing about “the bad times” in the IT dept after a hard day’s work. They depend on each other’s gaps in knowledge, ability to work late, and a good sense of humour to get through challenging days. But like all good teams, it needs the group to succeed. Budget cuts or changes in business strategy can push some to the fringes and into the eyes and ears of other companies looking to refresh and reinvigorate these IT workers. A story that I have seen many times before. When one leaves the others are given the workload that’s leftover and the exodus begins.

It’s not all gloom and doom. If managed and cared for correctly, the in-house IT dept can be a thriving place where well-executed change and performance gains are attributes recognized company-wide.

Companies that opt for the Managed Service Provider have a different set of challenges and rewards to deal with.

Who do you award the contract to? The company in your city that can be on-site in 10-15 minutes, or the huge UK wide provider with the flashy sales pitch but next to no geographical presence in your area? A tricky call for sure for anyone tasked with ensuring that someone looks after the IT operations of your company. The reward for this strategy, if placed in the right hands of course, is a constant headcount of skilled and accountable IT support personnel. Account management and escalation points that would not exist in-house. Clout when it comes to procurement and project management expertise. A depth of technological experience that obscures traditional in-house teams. Most importantly a scalable and reliable IT presence on the books and peace of mind for you and the management you report to.

The cons of this strategy? For most this comes down to cost. There is a middle ground where Managed Services Providers sit within industry sizes, and it tends to be in the Small to Medium-sized enterprise markets where they thrive. Striking a balance between cost, risk, and reward they operate and provide an ideal solution for most businesses in this sphere.

Having sat on both sides of the fence, I cannot honestly say which one I prefer outright. I love being in an environment where I can speak face to face with my customer base, be that colleagues or clients, and working with a team that has potential and a desire to help and enhance IT for others.

Sitting here at my desk at Cloud Cover, I genuinely feel that I have both feet on the side of this virtual fence and as a result I, and the customers we serve, reap the benefits. We operate with the sincerity, care and concern of an in-house IT operation but have the in-depth knowledge and expertise of a managed service provider. We don’t run a heavy sales operation like the huge UK wide operations that make our clients feel like a drop in the ocean or just another client in a database.

Making the transition back from in-house IT to outsourced was a tricky decision for me at the end of last year. Ending an 8-year run in a seat working for your own company was a tough call but having landed here at Cloud Cover IT, I can with no doubt say that the choice I made was the right one and I don’t regret it for one minute.

What security measures do you have in place on your IT systems?

Think of this way: when you sign-in to your computer in the morning, do you just input your password? Is there a secondary verification? How does your system know it’s really you if it’s just relying on a password? Anyone can get a hold of your password and put your company at risk. Especially working in remote settings.

We always recommend multifactor authentication to our clients. Hey, we recommend it to anyone we speak to!

We understand that not everyone may know what it is so we’ve answered a couple of questions:

What is Multifactor authentication?

Multifactor authentication is a process where a user is prompted during the sign-in process for additional form of identification. This can be a code, fingerprint scan or facial recognition.

Why can I just use my password?

If you’re only using a password to authenticate yourself on a device, you’re leaving the data open for attack. If your password is weak or been exposed elsewhere, how can we be sure it’s really who they say they are. When you require the secondary verification for authentication, security is increase as this factor isn’t something an attacker can easily obtain. For example, fingerprint scan is personal to you because it’s your fingerprint. A code sent to your phone, it’s your phone number the code is sent to.

How does it work?

Users which have an enabled Multifactor authentication application will receive a prompt for additional verification during the sign in process. This means they will be required to approve the login on a device known to them. Once approved the user will have access to applications and data.

Policies can be implemented to users who have a registered device or a corporate network which allow foe regular sign ins but prompt for additional verification on a remote or personal device.

Why should I be using MFA?

Phishing attempts are a real threat and although MFA is not a sure-fire way of stopping someone getting into your data, it is a measure that you should have in place to deter/ halt the attack.

How can I implement MFA?

Your administrator can implement and enable the MFA policy by installing the Microsoft authenticator application. We should mention it’s not just a case of downloading the application, there are various steps required to ensure proper set up and the administrator can do this.

Alternatively, you could speak with our Sales Manager to get started:

We’re offering free Platform Immersion Webinars and bespoke training for anyone working from home due to the coronavirus

With many of us now working from home, digital solutions which enable remote working are becoming increasingly fundamental in keeping us connected and productive. As Microsoft Gold Partners, we have a wealth of knowledge in Teams, SharePoint and Power BI, utilising them within our own workforce as well as integrating them into our clients’ operations. Now, we are keen to share that expertise with businesses that need it.

Platform Immersion Webinars on Microsoft Teams, Office 365, Power BI and more

Whether your team has been using Microsoft solutions for a while but need a refresher, or they are completely new to you – we can help! To share our expertise and help you to realise the full potential of these products, our Head of Cloud Development Alasdair and his team will be leading a series of Platform Immersion Webinars, accessible online for FREE.

Each webinar will focus on a single platform within the Microsoft stack, with participants invited to explore a demo-version of the application in action. Populated with data, documents and personas, these demo-versions represent a virtual ‘sandbox’ – an open, interactive environment in which participants can explore and discover the strengths of the platform. The Seminar leader will prompt discussion and offer tutorials throughout each session, allowing participants to learn hands-on how the platform can offer tangible benefits to communication, collaboration and productivity.

Personalised training

If a more bespoke tutorial would be preferred, Alasdair and the team can conduct a private Webinar to walk you and your team through the relevant platform at your own pace, in line with your specific needs and goals. This will showcase how the solution can directly relate to your day-to-day workflow and deliver real value for your organisation.

Keep an eye on our social channels for updates. For more information or to set up private tutorials for your team, please contact Alasdair Gauld or call us on 0141 280 2882.
