SharePoint Document Management
SharePoint / Power Automate
Hub West Scotland (hWS) is a joint-venture organisation which is owned by both the public and private sectors, work with a number of public bodies in the Greater Glasgow and Clyde area. hWS work in partnership to design and construct facilities which provide services to the local communities such as: schools, health centres; leisure centres and offices.
Business Challenge
hWS required a document management solution to replace an existing ViewPoint software due to the system not meeting specific needs. The solution was to act as a document management platform to share working & contractual documentation with their Clients and Client’s Contractors who work on their construction programmes. Internally hWS utilised a shared drive to store working files and the project was to involve the migration of this data into a single solution for easy management. The solution was to deliver a structured, scalable solution to simplify data structures moving forward.
The Solution
SharePoint data migration project with migration from ViewPoint file server & internal drives and the creation of an extranet for external user access.
- Development and delivery of a data migration from ViewPoint file server and shared drives to a SharePoint Document Management solution.
- Creation of an extranet for external user access.
- Configuration of custom internal and external views for new and existing projects.
- Implementation of custom automations for key functions within the project.
- Delivering training on SharePoint best practice and creation of guides to utilise SharePoint effectively.
The Result
Flyte provided hWS (Hub West Scotland) with a strategic SharePoint solution that enhances both internal and external collaboration.
This project successfully transformed hWS’s data management by migrating disparate data sources into a single, cohesive SharePoint environment. The implementation of bespoke features, including a secure partner extranet and automated project creation workflows, has directly addressed key operational challenges. This development has resulted in a more efficient, secure, and collaborative digital workspace, providing a robust foundation for all current and future project management activities.
Ultimately, the project’s success is not only defined by the technical implementation but also by the empowerment of the hWS team. Through comprehensive training and detailed documentation, staff are now fully equipped to leverage the capabilities of the system, ensuring its long-term value and high user adoption. hWS is now positioned with a scalable and sustainable platform, capable of supporting its collaborative efforts and operational growth well into the future.
Flyte provided us with a proactive and professional approach and guided us through options until a preferred approach was agreed upon.
The Project Manager assigned to hub West took a personal interest in ensuring that we were satisfied with the work undertaken and saw the task through to a successful conclusion.”
